Secretary of Executive Director

The Secretary of Executive Director will manage all aspects of protocol and procedure of Executive Director Office and provide other operational supports where required.

Duties and responsibilities:

  • Provide services to Executive Director in related to all secretariat roles.
  • Responsible in coordinating arrangements of offline/online/Hybrid meetings, seminar, conferences, etc. as assigned.
  • Preparing reports, presentations, and correspondence accurately and promptly.
  • Responsible of all translation/Interpretation of ED Correspondence and Report.
  • Organize and manage the schedule of activities, meetings coordination, travel arrangement (local and international), appointments, incoming and outgoing letters of ED.
  • Prepare briefing kits of ED and assisting in all meetings and conferences as required.

Qualifications:

  • Diploma in secretary in business English, administration management, international relations, corporate communications, or Bachelor’s degree in those disciplines is preferred.
  • Minimum of 5 years clerical experience in International non-profit organisation or Intergovernmental organisation
  • Experience in filling data, maintaining director’s calendar, and business travel arrangement
  • Exceptional in English both written and verbal
  • Proficient in presentation skills, knowledge of specific software programs, including Word, Excel, Power Point, Skills in video conferencing, phone systems and database management.
